Use Guidelines
ICR Facilities Guidelines
The Islamic Center facilities are open for use by all Muslims of the Greater Rochester area for legitimate religious and social activities. The mosque area (prayer hall) can only be used for Salat (individual and group prayers) reflection and contemplation, Education, study groups, meetings, lectures and group discussions. Islamic Center does not make any judgments on the religious significance of any social functions.
All functions are allowed as long as the activities are not in conflict with the fundamental practices and teachings of Islam. Singing, dancing and instrumental music is prohibited in the Islamic Center facilities and foods and drinks served must comply with Islamic dietary laws. With the permission of the president, only out of town Muslims in transit and with proper identification and upon signing a waiver of liability may stay at The Center for a maximum of three nights. Families are not allowed to stay at The Center.
All requests for the use of The Center stating the purpose of the function must be made and approvied by the Facilities Use Manager who will maintain a calendar of activities. Requests are accepted on a first come basis. Permission can be denied if the purpose of the meeting is in conflict with the stated policies of The Center or the user has a history of noncompliance with the established guideliens.
Such a decision can be appealed to the Islamic Center Executive Board, which has the final authority to approve all requests. The use of Islamic Center furniture and equipment outside The Center for private use is prohibited. Professional or education meetings requested by any area organizations and sponsored by an Islamic center member are welcome with prior approval obtained from the Board. Such requests can be denied without stating any cause or reason. Shoes must be taken off and stored in the shoe racks. Muslims as well as non Muslim guests coming to the mosque must dress modestly. Proper attire for all includes covering of bodies and legs. Women must cover their heads and full arms. Program schedule must be arranged to plan breaks at prayer times. Reservations for use of the facilities can be made with the Executive Director.
- Rental time begins at 3:00 pm and ends at 9:00 pm on weekdays/School Days.
- Saturday gym is available from 3:00 pm to 9:00 pm
- Sunday gym is available from 2:00 pm to 8:00 pm
Chair quantity: Chairs will be provided per the sponsor’s request. Please note that children are included in the expected guest count
ICR Responsibilities:
- Break down tables and chairs after events and parties
- Provide microphone (if requested)
- Provide coffee and tea pots (please let us know if this is needed before the event date)
Sponsor Responsibilities:
- Provide tablecloths/table covers
- Provide cutlery/plates/bowls/cups/napkins/other paper products
- Provide coffee/tea/sugar
- Managing food/serving food (please note that all food must be removed from the refrigerator, countertop, or any other area by the end of the party/event)
- Kitchen and Gym to be left as found.
The sponsor takes full responsibility for its guest behavior including the use of other areas in the
facility. The sponsor also takes full responsibility of crowd control, child control and assuring no
damage is done to the property of the ICR and to any other guests while on the premises. Any
damages as such will be the responsibility of the sponsor, and the sponsor will be
charged a $200 fee to repair or replace the damaged item. Food should be prepared from
outside and warmed up in the kitchen. No cooking is permitted inside the kitchen.
The sponsors must follow attached guidelines to the fullest, otherwise permission will be revoked
at sponsors cost.
Parking should be within the white lines obeying the law. Any cars parked outside of white lines are subject to being towed. ICR does not take any responsibility for towed cars.
Crowd control (especially kids) is the sponsor’s responsibility and sponsor should make detailed
arrangements for that.
General Guidelines
- Event Purpose: The gym may only be used for the purpose specified in the booking agreement. Any unauthorized activities are prohibited.
- Supervision: Event organizers are responsible for supervising all attendees, including children, at all times.
Decorations and Equipment
- Prohibited Items: Helium balloons, confetti, glitter, and similar items are not allowed in the gym.
- Decorations: All decorations must be pre-approved by ICR Gym management. Adhesives, nails, or other materials that may damage the walls, floors, or ceilings are strictly prohibited.
Noise and Music
- Volume Restrictions: Music or amplified sound is not permitted to ensure minimal disruption to other areas of the facility and surrounding neighborhood.
Property Protection
- Respect for Property: Any damage to ICR Gym property, equipment, or facilities will result in financial liability for repairs or replacements.
- Clean-Up: The gym must be left in the same condition as it was found. All trash, decorations, and event-related items must be removed by the end of the booking period.
Safety and Conduct
- Safety Measures: Guests must comply with all safety regulations, including fire exits and capacity limits.
- Prohibited Activities: Smoking, alcohol, and illegal substances are strictly prohibited on the premises.
- Behavior: All attendees must conduct themselves respectfully. Offensive or disruptive behavior will not be tolerated.
Fees and Penalties
- Policy Violations: A $200 penalty will be applied for any violations of the above rules. Additional charges may apply for excessive damage or cleaning requirements.
Booking Requirements
- Agreement Acknowledgment: All renters must sign and agree to these rules and regulations as part of their booking confirmation.

Gym Rental Cancellation Policy
Cancellation Notice:
- Cancellations must be made at least 5 days prior to the scheduled rental date. Failure to provide at least 5 days’ notice will result in a forfeiture of the rental fee.
Rescheduling:
- The rental date can be moved only once. If you need to reschedule, please inform us at least 5 days before the original rental date. Any subsequent requests for rescheduling will not be accommodated, and the original rental fee will be forfeited.
Refunds:
- Refunds will be issued for cancellations made with at least 5 days’ notice. No refunds will be provided for cancellations made within 5 days of the rental date.
Confirmation:
- All cancellations and rescheduling requests must be confirmed via email president@theicr.org. Verbal cancellations or rescheduling requests will not be accepted.
By renting our facilities, you agree to adhere to this cancellation policy.
Using the GYM
Things to Know
- Rental time begins at 3 pm and ends at 9 pm.
- Kitchen can be available for a limited use by a few people just to clean if required.
- All tables must be covered (no staples). You must provide your own table coverings.
- All food and beverage must remain INSIDE the gym at all times.
- All outside doors are to remain closed at all times.
- The entire building is a NON-SMOKING FACILITY.
- Routine ICR iftar box distribution will still be going near the kitchen area. We will try our best not to disturb your event.
- All rubbish must be removed from the building and placed in the dumpster. Containers must be wheeled to the rear landing before trash bags are removed.
- The renter is responsible for any damage to the GYM equipment.
- ICR is not responsible for any personal losses.
- ICR is not responsible for injuries to guests or damages caused to them.
- ICR reserves the right to cancel reservations.
